Food Program Coordinator - ECE
Position Summary:
Responsible for supervising the activities of a program with the direct support of the Executive Director.
SPECIFIC DUTIES:
1. Maintain all required policies and procedures for CACFP program.
2. Enter and qualify each participant during the month of October in (SNIPS).
3. Enter and calculate monthly billing to the CACFP by the end of the following month.
4. Maintains all sign in sheets in organized file with meal count sheets and menu production records.
5. Review monthly menu plans and menu production records for compliance with current meal patterns.
6. Sign off on all expense reports with charge to CACFP.
7. Conduct initial and yearly training events.
8. Monitor each site three times per year, with at least two of those visits unannounced and one of the unannounced visits during a meal service. The Agency may use review averaging (an average of three site reviews per year) to meet this requirement. a. The first review for a new site must be completed within the first six weeks of participation and no more than six months elapse between reviews. b. Document and maintain a record of all visits. c. Re-train staff if there are deficiencies.
9. Annually issue a press release to the public media announce CACFP availability.
10. Review all Management Bulletins and make adjustments to program to maintain compliance.
11. Translate CACFP information into other languages if requested.
12. Complete renewal application yearly and update site locations adds/drops/changes as needed to CACFP.
13. Act as a Civil Rights Coordinator a. Collect racial/ethnic data on all participants (keep on file for at least three years). b. Include the nondiscrimination/complaint statement on all letters to households. c. Prepare a Civil Rights self-evaluation report at the end of each fiscal year, and maintain the copy with the background documents on file for three years. d. Prominently display the nondiscrimination poster at the administrative office at each site. 14. Determine the number of potentially eligible children in our service area. a. Compare to make-up of current enrollment. b. Evaluate steps to take if population is underserved.
15. Notify in writing, to all sites, they are required to comply with Section 504 of the rehabilitation Act of 1973.
16. Work with accounting department to meet all fiscal management guidelines.
17. Attend all staff meetings, trainings and other YMCA functions as required by supervisor.
18. Maintain open lines of communication with participants, staff and supervisor.
19. Perform other duties as assigned.
Additional Job Specific Duties:
- Oversee CACFP operations to ensure compliance with all program regulations.
- Maintain accurate meal counts, attendance, and required documentation.
- Prepare and submit monthly claims and reports.
- Monitor meal service to ensure proper portions and meal pattern requirements.
- Train staff on CACFP procedures and compliance standards.
- Review menus for USDA compliance.
- Serve as liaison during audits and reviews.
- Maintain organized CACFP records and files.
- Address and correct compliance issues promptly.

QUALIFICATIONS:
1. College Degree and/or equivalent experience required.
2. CPR, First Aid and AED certification required.
3. 2 years experience in related field required.
4. Experience in program leadership and staff supervision preferred.
5. Experience in sales/marketing, membership retention, program leadership and staff supervision preferred
6. Ability to handle multiple assignments, organizational skills, basic PC and typing skills required.
7. Additional Requirements: Criminal Clearance: Including Fingerprints and background clearance
8. Health screening with negative TB test. Negative Drug test screening.
9. Complete Online New Employee Orientation and Child Abuse Prevention Training.
WORKING CONDITIONS:
Environmental Factors: Indoor and outdoor facilities (e.g. fitness and recreational sites); exposure to heat, cold, potentially hazardous chemicals, toxic materials; work on slippery or uneven surfaces. Noise level is usually moderate.
